Meeting Summary - ARC Board Meeting (2025-07-09) @ 8PM

Events & Planning:

• No response from Seachem regarding potential August event - appears unlikely at this point
• September 27th selected for our next event - Frag Swap at the church
• Confirmed Coral Vendors - TRSC, Luis Reef, Dave Ball, Leon's Lagoon so far
• Tour of Tanks is still an option depending on costs
• Holiday party scheduled for December 13th (church was unavailable December 6th)

Sponsorship Updates:

• No Activity this meeting

Board & Membership:

• Motion proposed to set a budget of $2000.00 for the September 27th Frag Swap event. The motion passed.
• Atlanta Aquarium Tickets - We are having issues with members reserving tickets, not using them for the date reserved, and not getting the tickets moved on to the next person who has requested them.
• Agreed upon resolution: Move to a google form to keep better track of member roles and responsibilities with the tickets. The club will charge a $50 deposit up front. $30 will be refunded once the tickets are returned. $20 will be used for a prepaid mailing envelope and covering Paypal fees.

Actions:

• Brian: Post financial numbers for checking, savings, and trust accounts[#1] - Posted
• Bridgett: Create a google sheet form for the Atlanta Aquarium tickets process outlined above. Define roles and responsibilities for supporting members using the tickets[#2]
• Justin: Check with Premier on whether they are planning an event[#3]

@spike informed us on Thursday that he confirmed his Frag Bash event for October 4th. Spike's Corals is an excellent supporter of the club and our events and this town just simply isn't big enough for two frag swaps on back to back weekends. This is unfortunate from a timing of events standpoint since the BOD just finalized our event on Tuesday, however, we will pivot to create a different event for either Sept 20th or Sept 27th. Likely we will go with either a Tour of tanks or a Pico tank build session with a speaker. I hope everyone will plan to participate in the Frag Bash October 4th, however, this will not be an ARC sponsored event. ARC has been invited to have a table and we will plan some raffles for supporting members that check in during the Bash hosted at the American Legion in Cumming. It should be a lot of fun with lot's of great corals for sale. More details to come.
